How controls are set
Roles and access
Each person gets one role, and that role decides what they can see and change. A cardholder sees their card; the owner sees the whole account.
Approval before spend
Spends outside a card's rules wait for a named approver. The card is not used for them until someone says yes.
Freezing a card
An admin can freeze any card from the account and unfreeze it when it turns up in a coat pocket.
An activity trail
Changes to cards, rules and roles are recorded with who made them, so a question in March can be answered from the trail.
Your own part
Keep login details to yourself, remove people who leave, and review roles when the team changes. We cannot do those for you.
What controls do not do
They do not replace statements
Someone on your team still needs to read the statement each month.
They cannot judge every spend
A spend can follow the rules and still be the wrong call, which only a person will spot.
Rules need someone to update them
When a person leaves or a budget changes, an admin has to change the rules by hand.
For who provides the accounts and cards, and how fees and limits are set, please read our important information page.
